We are excited to recruit for this pivotal Executive Communications Analyst role to ensure the smooth operation of our New York office, strong executive support for our CEO, and the driving forward of marketing and event initiatives. You will serve as an office management lead and a trusted project coordinator, playing a key role in aligning marketing, executive, and operational initiatives that support company growth.


What You'll Be Doing

As an Executive Communications Analyst, you will be responsible for a hybrid role spanning office management, executive support, marketing coordination, and project coordination.

Your responsibilities will include:

  • Office Management & Facilities: Owning day-to-day office management, managing inventory and common areas, acting as the primary facilities contact, and handling mail and shipments.
  • Executive Support: Providing personal assistant duties for the CEO, assisting with complex schedule/calendar management, managing customer follow-ups, meeting preps, and presentation materials.
  • Marketing & Social Execution: Supporting the execution of the company's social strategy (including crafting LinkedIn posts) and maintaining a live tracker of marketing initiatives and deadlines.
  • Event Coordination: Helping plan and execute internal events, team offsites, in-office events, and client-facing events end-to-end (venue selection, vendor management, budget tracking, logistics).
  • Project Coordination: Owning timelines and follow-ups across marketing, executive, and office projects, keeping stakeholders aligned, and surfacing risks or delays to leadership early.
  • Technology & Onboarding Logistics: Coordinating IT hardware tracking, serving as the local liaison with global IT, and facilitating employee onboarding/offboarding logistics.

We are looking for an individual who is a self-starter with a tenacious approach to responsibilities and a genuine pride in running a well-organized office. You will be passionate about delivering successful outcomes and possess:

  • 2+ years of experience in an administrative, personal assistant, event experience, or related office support role.
  • Bachelor's degree.
  • Excellent communication (written and verbal) and interpersonal skills required to coordinate across teams, external vendors, and senior leadership.
  • Proven ability to manage complex logistics (travel, office assets) with exceptional detail orientation and software proficiency in Google Workspace.
  • Strong attention to detail, proactive ownership, and familiarity with project management tools such as Asana, Monday, or Notion.
  • Comfortable managing IT hardware assets and coordinating with technical support teams.
  • Experience supporting social media management, marketing campaigns, or event planning is preferred.
  • An ambitious and self-motivated team player who is comfortable working in a fast-paced environment and ready to grow with a company.

When and Where You'll Be Doing It

This is a full-time, in-office position based in our New York office (Monday–Friday). The base salary range for this role is $67,000–$72,000 USD per year, depending on experience. This position reports directly to the Chief of Staff.
