Position: Production Data Inventory Specialist

The position we are brewing:

The Production Data Inventory Specialist is responsible for supporting production schedules and inventory management operations by ensuring the accuracy and integrity of production data, reconciles discrepancies and inventory records across multiple systems and locations. This role requires close collaboration and serves as a critical link between production, inventory control, and data management coordinating daily data entry activities, overseeing inventory levels, maintaining item information, and ensuring pricing accuracy. The specialist plays a key role in supporting effective decision-making and optimizing resource utilization to ensure smooth and efficient operations

What you will Measure and Blend:

  • Coordinate all data entry activities related to the Daily Production Schedule.
  • Maintain accurate and up-to-date production data, ensuring data integrity across systems.
  • Oversee the cycle count program for all raw materials and ensure accurate inventory levels.
  • Monitor and align inventories between the Roasting & Distribution facility and remote warehouse locations.
  • Manage item creation, including assigning new item SKUs and UPCs across platforms.
  • Maintain daily Cadence inventory movement, manage pricing, purchase costs data, includes sales prices and updates in the system. 
  • Review weekly Green Coffee inventory reports; coordinate recounts and make necessary adjustments.
  • Maintain accurate records and address inventory discrepancies.
  • Confirm item details in seasonal promotional roll-out guides.
  • Create daily production jobs in the ERP system for both intermediates and finished goods.
  • Creating and processing production jobs for offsite manufacturing locations, coordinating with cross-functional teams to ensure efficient workflow and adherence to project timelines.
  • Generate and printed material picklists; coordinated material issuance for production activities.
  • Update daily production metrics to reflect current output, identify variances, and support data-driven decision-making.
  • Perform daily reconciliation of coffee work-in-progress with finished product quantities to ensure accurate inventory tracking and production reporting.
  • Responsible for scanning and saving all production-related paperwork to the designated SharePoint drive, maintaining accurate and up-to-date digital records.
  • Close production lines and jobs to support timely and accurate month-end processes.
  • Monitor daily 3PL Sales Order Interface from designated locations, promptly resolving errors or discrepancies to ensure seamless order flow.
  • Oversee daily warehouse-to-warehouse transfer processes in Microsoft Dynamics AX, include order picking, shipping, and invoicing for Fulfilled by Amazon (FBA) and Walmart.com.
  • Perform scheduled cycle counts, ensuring all warehouse items were accurately counted within a rolling two-month cycle.
  • Coordinate, led, and executed the Annual Year-End Physical Inventory Count at the Roasting and Distribution (RAD) facility, also other assigned physical inventory counts at additional sites.
  • Manage raw material inventory control, initiate and process adjustments to maintain accurate stock levels across facilities.
  • Review weekly green coffee usage by comparing roasters’ physical counts with Microsoft Dynamics AX inventory data, identify and resolve discrepancies.
  • Analyze Work-in-Progress (WIP) reports and provided feedback to the Production Data Entry Coordinator to correct data inaccuracies
  • Report inventory variances and adjustments to the Leadership Team on a weekly basis to support informed decision-making and ensure operational transparency.
  • Assign item and UPC numbers, and managed new product setup in Microsoft Dynamics AX for CBTL-manufactured and purchased items.
  • Review and validate item details in seasonal promotional rollout guides, including item number, unit of measure, pack size, and pricing accuracy.
  • Maintain sales and purchase pricing, including monthly updates for dairy products and ad-hoc adjustments as needed.
  • Ensure accurate new product setup within the Cadence platform at DDC, coordinating with relevant teams to verify completeness.
  • Generate various reports, including ad-hoc reports, to support cross-functional operational and analytical needs.
  • Responsibilities include but are not limited to the stated assigned duties.
  • Ensuring work practices comply with company safety policies and occupational health and safety standards contribute to a safe and secure work environment.
  • Adhere to and support facility Food Safety & Quality Assurance programs (SQF, FSMA, HACCP, Organic, Halal, Kosher, etc.), assisting in maintaining compliance with all relevant standards and requirements.

Your Ingredients:

  • High school diploma or equivalent with relevant experience inventory management, data analysis, or production support roles
  • 2+ years of experience in inventory management or production support roles
  • Experience working in a manufacturing, production environment, food, and beverage is a plus or similar fast-paced, process-driven environment.
  • Familiarity with ERP systems (e.g., Aloha, AX, Microsoft Dynamics) and inventory management software is highly desirable
  • Excellent Communication skills, strong attention to detail, excellent data entry, and data management skills
  • Strong analytical and problem-solving abilities
  • Ability to work effectively in a cross-functional team environment
  • Excellent time management skills with the ability to prioritize work and to work well under pressure
  • Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint and other productivity tools. Advanced level    within Excel is preferred.
