What you’ll do:
- Monitor Maintenance Inbox: Regularly manage the maintenance inbox, prioritizing and categorizing requests based on urgency and importance, ensuring timely follow-ups with relevant teams or contractors.
- Contractor Requests & Online Portal Management: Review and action contractor requests, ensuring jobs are completed to our standards, with correct documentation and invoices submitted on time.
- Coordinate Basement Storage & Inventory: Oversee the delivery and storage of spare parts, ensuring accurate inventory records, and manage the quarterly chair ordering tracker.
- Asset List Management: Keep track of key equipment assets in our restaurants, conducting regular audits and ensuring the asset management system is up to date.
- SOP Management: Support the maintenance manager in developing, reviewing, and updating Standard Operating Procedures (SOPs) for the department, ensuring they are accessible and up to date.
- Admin & Reporting: Keep track of property documents like leases, maintenance records, and financial reports, ensuring they are organized, updated, and easily accessible. Assist with compliance-related tasks, including renewals of licenses and insurance updates.
- Support the Property Team: Assist the Property Director with various administration tasks and provide assistance in tracking changes to local property laws and compliance requirements.
What we’re looking for:
- A highly organised individual with strong attention to detail and the ability to manage multiple tasks effectively.
- Excellent communication skills, both written and verbal, for interacting with contractors, suppliers, and internal teams.
- Proficient in using Office 365, particularly Excel, and experience with property management systems is a plus.
- A proactive problem-solver who can handle issues independently and collaborate effectively within a team.
- Experience in property management or administration is beneficial, but not essential.
