Description

Finance, HR & Administration Coordinator

Location: Oxford

Job type: Part-time / Permanent

Salary: £30-33k pro rata, depending on experience

Working pattern: Office based, with flexible hours to be agreed

We are a small, independent and growing Oxford restaurant group, including The Perch Inn Binsey, Mamma Mia Summertown and Mamma Mia Jericho, with an exciting new opening planned for early 2027.

We're looking for a highly organised, reliable and approachable Finance, HR & Administration Coordinator to support the day-to-day running of our business.

This is a varied, hands-on role combining financial administration, HR and payroll support, and general business coordination across our restaurants. You'll work closely with our management team, helping to ensure that essential processes run smoothly, records are accurate and deadlines are met.

There is genuine opportunity to learn, develop and take on additional responsibility as the group continues to grow. The role would particularly suit someone with a background in accounts or office administration, perhaps working towards AAT Level 3 or an equivalent qualification.

The Role -

Finance administration

·   Process and reconcile supplier invoices, statements and payments, resolving discrepancies and maintaining accurate records.

·   Assist with weekly sales reconciliations, bank reconciliations and routine bookkeeping processes.

·   Prepare sales invoices, monitor outstanding payments and respond to supplier queries.

·   Support monthly financial reporting, inter company transactions and payment preparation.

·   Maintain accurate financial records using Sage, spreadsheets and other business systems.

HR & payroll administration

·   Maintain employee records and support onboarding, leavers, contracts and Right to Work compliance.

·   Collate and check staff hours, holidays, sickness and other information required for payroll.

·   Maintain our HR system and coordinate information with payroll providers.

·   Support recruitment administration, appraisals and other routine HR processes.

·   Assist restaurant managers and employees with general HR and payroll queries.

Office administration & compliance

·   Maintain organised records of contracts, insurance, utilities and other business documentation.

·   Coordinate Health & Safety records, training, compliance checks and important renewal dates.

·   Support the management team with general administration, supplier enquiries and office coordination.

·   Assist with administrative preparations for our new restaurant opening.

About you -

We're looking for someone who is organised, dependable and comfortable managing a variety of responsibilities in a busy environment.

You'll ideally have:

·   Previous experience in accounts, finance or office administration.

·   Experience working with invoices, reconciliations, bookkeeping or similar financial processes.

·   Good numerical skills, excellent attention to detail and confidence using spreadsheets.

·   An understanding of basic HR and payroll administration, or a willingness to learn.

·   Strong communication skills and the ability to work independently and prioritise deadlines.

·   A practical, proactive approach and the confidence to liaise with managers, employees and suppliers.

Experience in hospitality or a multi-site business, and familiarity with Sage or HR/payroll systems, would be an advantage but isn't essential.

What we offer -

·   A varied role within a friendly, independent Oxford hospitality group.

·   Flexible working hours, subject to business requirements.

·   Training and genuine opportunities to develop your skills and responsibilities.

·   A supportive, hands-on working environment.

·   Restaurant discounts and heavily discounted staff lunches.

·   28 days' annual leave, including bank holidays (pro rata).

How to apply -

Please send your CV and a short covering note to natalielee@fullcity.co.uk, explaining why you'd be a good fit for the role.
