Culinary Administrator

We are seeking a detail-oriented and organized individual to join our team as a Culinary Office Administrator. The ideal candidate will be responsible for managing various administrative tasks crucial to the smooth operation of our restaurant. This role primarily involves handling invoice processing, time clock management, and maintaining accurate records of inventory amounts. Responsibilities/Tasks 


Invoice Processing

  • Receive, review, and process invoices from vendors and suppliers.

  • Verify the accuracy of invoices against purchase orders and delivery receipts.

  • Coordinate with vendors regarding any discrepancies or billing issues.

  • Maintain a systematic filing system for invoices and related documentation.


Time Clock Management:

  • Ensure accurate recording of employee hours worked, breaks, and time-off requests.

  • Address any discrepancies or concerns related to timekeeping records promptly.

  • Generate reports on employee attendance and hours worked as needed.


Inventory Management:

  • Enter and update inventory amounts into the restaurant's database or inventory management system.

  • Conduct regular audits of inventory levels to ensure accuracy and minimize discrepancies.

  • Coordinate with kitchen staff and management to track inventory usage and forecast future needs.

  • Assist in identifying and addressing inventory shortages or overages.


General Administrative Support:

  • Provide general administrative support to restaurant management and staff as needed.

  • Assist with scheduling, correspondence, and other office tasks as assigned.

  • Maintain confidentiality and discretion in handling sensitive information.

            

Skills 

  • Proven track of Hospitality/ Restaurant experience 

  • People-oriented and results-driven  

  • Knowledge of restaurant systems and databases 

  • Excellent active listening, negotiation, and presentation skills 

  • Competence to build and effectively manage interpersonal relationships at all levels of the company 

Qualifications:

  • Proven experience in office administration, preferably in a restaurant or hospitality environment.
  • Proficiency in using computer applications such as Google Workspace, MS Office Suite (particularly Excel and Word) and experience with accounting software or inventory management systems.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment.
  • Familiarity with basic accounting principles and inventory management practices is desirable.
  • High school diploma or equivalent; additional education or certification in office administration or related field is a plus.
