Description

Under the general direction of the VP of Facilities, the Facilities and Procurement Administrator will manage and organize the requests of the Facilities department to ensure timely and efficient closure of projects.  They will also work with the Procurement team to manage operational purchase requests. This role is great for someone who is very organized, can multi-task, and has strong communication skills. In line with Just Salad’s mission to make everyday health and sustainability possible, you will also support initiatives to reduce Just Salad’s environmental footprint.

Reports to: VP of Facilities

This position will be in our NYC office – 5 days a week

Facilities + Procurement Administrator Responsibilities:

Facilities:

  • Monitor and maintain the Facilities application, ResQ, including incoming & existing requests, updating the store locations, and users
  • Suggest to the Ops team possible solutions prior to dispatching the Facilities team
  • Prioritize and assign the work orders to the Facilities team
  • Monitor the Facilities team work orders & projects and ensure that emergent requests are attended to in a timely manner
  • Review incoming emails from operations and triage
  • Log and track all Facilities projects and remodels
  • Assist in preparing and updating training videos
  • Order parts, materials, and equipment as needed or for stock
  •  Assist with any ad hoc projects

Procurement:

  • Facilitate and manage a high volume of inbound operational purchase requests submitted by stores and leadership, including via text, email, and entries made through the ResQ ticketing system.
                -Purchase categories may include, but not limited to: small and large equipment for restaurant operations, lighting, interior and              exterior tables and chairs, booths, millwork, interior décor items, branding elements, umbrellas, bases, banners, and flags.

  • Enter all informal requests (text/email) into ResQ accurately to ensure proper tracking, approval routing, and documentation.
  • Validate requests and seek required cost approvals from the VP of Facilities or COO before routing purchase requests to the responsible party for final ordering.
  • Coordinate final delivery confirmation and communicate with relevant stakeholders.
  • Write clear and concise communications to internal and external stakeholders and operate effectively in environments with ambiguity and evolving priorities.
  • Maintain documentation for invoicing, reconciliation, and reporting to support cost control and operational continuity.
  • Assist with any ad hoc projects

Facilities + Procurement Administrator Requirements:

  • Strong organizational and communication skills
  • Experience with ticketing systems, a plus
  • Strong knowledge of Microsoft suite (word, power point, and excel)
  • Must be able to follow instructions, complete the projects on time, work independently and well with others.
  • Bilingual (Spanish + English) a plus (not required)
