ROLE OVERVIEW

The Groups & Events Senior Meeting Planner is an integral role at Montcalm Collection. The role is to take the responsibility for converting business reactively by personal and consistent sales service, resulting in the achievement of hotel profit plan that maximizes revenue by driving the sale of conference and events facility spaces and Guest rooms. Coach, mentor and lead your team in a clear direction, sharing your experience and focus on their roles and responsibilities set to achieve the business plan and associated targets and metrics.

KEY RESPONSIBILIES

·  Maximize all Conference & Events revenue opportunities by reactively selling the venue to new and existing clients.

·  Achieve sales targets and expand the business

·  Adhere to Montcalm Collection standards and uphold and exemplify Montcalm Hotel Service of Excellence

·  Handle reactive residential groups, event, F&B and conference enquiries in accordance with brand standards.

·  Understand the competitive marketplace and implement approaches to ensure the hotel stays competitive in the local market.

·   To uphold accurate and regular tracking of enquiries to convert every business opportunities, trend identification and trimming of department model to driver greater efficiencies, smarter working practices and effective resource allocation.

·  Support team to ensure all event document and paperwork are accurate and in place, including event running order, delivery schedules, staff briefing sheets, etc.

·  Calling potential clients, arranging show rounds and fam trips to convert enquiries to sales.

·  Be present to meet and greet customers as appropriate.

·   Work closely with the DOS and Event Sales Director and take specific sales actions to convert all potential business.

·   Maintain confidentiality of guest and associates information and pertinent hotel data.

·   Manage own sales appointments and follow up professionally.

·   Collecting own data and providing accurate management reports to share with the management.

·  Promoting good image of the hotel and the group

·   Maintain positive guest relations at all times.

·   Have full product knowledge of the facilities offered.

·   Work effectively to build relationships with colleagues in the hotel.

·   Take a lead in controlling and tracking Event-related Enquiries (Reactive) and RFPs, with support of Reactive Team to distribute equally and efficiently to pitch opportunities.

SKILLS & QUALIFICATIONS

· To be sales-minded with the desire to achieve excellent results by converting Groups, Meetings and Events business into definite and repeat bookings.

·  To be proactive and able to identify new clients.

·  To actively seize sales opportunities and be able to quantify.

·  To have a personal impact, taking responsibility and using initiative to resolve situations.

·  To approach tasks orderly, with tenacity and determination, completing work to the required standard within the deadlines agreed.

·   To be motivated, committed and enthusiastic, seizing opportunities to learn new skills or knowledge to improve personal performance.

·  To maintain high levels of professionalism in dealings with customers.

·  To be flexible, responding quickly and positively to changing requirements from clients or management.

·  To be able to work different hours or days depending on groups and events operational requirements.

·  To maintain team focus by showing co-operation and support to colleagues to achieve the departmental and hotel goals.

·  Proficient with Opera Express, Opera Sales & Catering.

·  Proficient in Microsoft Office Suite: Excel, Word, PowerPoint, and Outlook.

·  At least 4 years of experience in hotel-based similar roles such as Events, Group, and Guest facing Services is preferred.

WORKING CONDITIONS

·  The role is based in the company’s London office.

·   Normal working hours are Monday to Friday, 9 am – 5.30 pm, during live events and build-up hours may vary.

·   Out-of-hours work at events may be required.
