Overview
The Assistant Reservations Manager works closely with the Reservations Manager and Reservations Team across all Montcalm Collection properties in London. This role ensures rate parity across distribution channels, manages FIT allocations and rates, handles group enquiries and quotes, oversees inventory, and ensures bookings are accurate and timely. The role requires a proactive, hands-on approach, operational knowledge of all hotels, and excellent decision-making skills. The individual must thrive in a collaborative environment, drive business growth, and enhance the Collection’s brand visibility in the luxury market.
Key Responsibilities
· Supervise the day-to-day running of the reservations office and ensure all daily tasks are completed.
· Record daily room revenue results and prepare 7-day forecasts for circulation to relevant managers.
· Monitor competitor hotel performance and pricing strategies.
· Handle overbookings, serious group requests, and non-arrival charges in line with budget/yield guidelines.
· Maintain company profiles, room rates, and bookings accurately in PMS systems (e.g., Opera, OnQ).
· Handle all group reservations (corporate, leisure, tour operators), including proposals, contracts, confirmations, and rooming lists.
· Ensure billing arrangements are accurate and reconcile as necessary.
· Generate and review daily, weekly, and monthly reports (pickup reports, forecasts).
· Track group performance metrics (conversion rates, room nights, revenue).
· Train and supervise reservation agents handling group inquiries.
· Ensure SOPs are followed and updated, and assist in setting departmental goals and KPIs.
· Liaise with Sales, Revenue, and other departments to optimize occupancy and revenue.
· Participate in the annual rooms sales budget and strategic planning processes.
· Maintain awareness of events in London that affect occupancy and adjust strategies accordingly.
· Perform any other reasonable tasks requested by senior management.

Skills & Experience
· Minimum 2 years’ experience in hotel reservations, groups, or events coordination.
· Supervisory experience preferred.
· Knowledge of the London hotel market desirable.
· Familiarity with Autograph Collection/Marriott standards an advantage.
· Strong attention to detail and organisational skills.
· Proficiency in hotel PMS (Opera/Marriott systems or similar) and MS Office.
· Financial acumen with experience in invoicing and billing.
· Proactive, solution-oriented, and customer-focused mindset.
· Ability to prioritise workload in a fast-paced environment.
· Strong interpersonal skills with confidence when dealing with clients.
Working Condition
· Based at Academy within the Montcalm Collection.
· Full-time role with flexibility required to meet business needs.
· Close collaboration with Reservations, Revenue, Events, Finance, and Operational teams.
