JOB SUMMARY

Responsible to provide support services to the Logistics section by ensuring timely and accurate 

inventory transactions, full and effective control of inventory movements; dashboard measures; logistics financial transactions, periodic cycle count, and representing logistics for internal and/or external audit.

ESSENTIAL FUNCTIONS

  • Review that all transactions are documented and encoded for inventory monitoring purposes; all items in the warehouse are appropriately received, stored, and issued to the stores and documented in the Oracle system.  Monitor warehouse and store transfers for accuracy and cost-effectiveness as directed by the Logistics Supervisor.
  • Review and recommend a systematic cycle count process (what/why/who/where/when/how).
  • Examine monthly inventory counts; identify, analyze its root-cause and correct discrepancies/problems; initiate necessary recounts in partnership with the Warehouse Supervisor & make recommendations to reconcile inventory discrepancy vs. physical count and computer balance/bin cards.
  • Provide accurate information on inventory to Supply Chain Planners, Production and Stores of Jollibee, CK, and Red Ribbon that will guide them in the ordering of materials
  • Recommend necessary improvements on processes that affect accuracy & timeliness of the inventory to improve business performance and increase customer satisfaction.  Provide regular feedback/report to management.
  • Schedule and coordinate periodic physical counts with concerned departments such as Production, Purchasing, Accounting.
  • Monitor compliance of distribution providers on agreed key performance indicators (KPI) such as: Document Compliance, and Inventory Record Accuracy, etc.
  • Take the lead in monitoring compliance of warehouse on crates management.
  • Expedite flow of activities for special order/s of stores to include in receiving and timely shipment; preparation of warehouse documents covering  spoilage, damages, and inventory losses. Initiate and prepare inventory adjustments for approval of Warehouse/Logistics Manager. 
  • Take the lead in auditing warehouse operations on compliance with established systems and procedures.
  • Follow model and influence others to strictly comply with all company policies, workplace safety standards, inventory records, and policy, Good Housekeeping Practices or 5S, Clean As You Go (CAYGo), Cleanliness and Sanitation, etc. 
  • Assist Warehouse/Logistics-Manager in evaluating monthly performance of  Depots and Third-party service providers.
  • Monitor and coordinate with Accounting, Store, and Depots on timely resolution of inventory discrepancies.
  • Prepare and submit on-time to the Accounting and Logistics Manager the monthly accrual Freight-out and Warehouse billing and filling of all logistics documents as defined in Inventory Policy.
  • Work with key personnel to effectively implement process improvements to operational procedures to proactively optimize the overall location and item level accuracy and maintain the highest possible productivity levels.
  • Recommend quantity on the transfer of materials from 3rd party warehouse to the company warehouse.
NON-ESSENTIAL FUNCTIONS

  • Prepare periodic status/reports including stock transfer reports (STR) on all orders not documented in the system in case there is a problem with the system as assigned by the immediate supervisor.
  • Attend required training or certification programs necessary for the satisfactory performance of all assigned responsibilities and achievement of unit’s goals.
  • Initiate coordination and communication with team members and management team to support the achievement of all goals and objectives.
  • Perform other jobs/tasks or inventory control-related assignments as assigned by the immediate supervisor in order to develop one’s self and/or share one’s expertise resulting to support work efficiencies & productivity.
  • Perform administrative duties as necessary (i.e. making copies, printing, filing, etc.).
  • May be assigned to assist Customer Service & Order Management Specialist to check if orders are correctly received by the stores.
  • May be assigned a project by immediate supervisor.
JOB SPECIFICATIONS

Bona Fide Occupational Qualifications (BFQs) (Required Training, License & Certification)

  • Inventory Control related training, licensing or certifications from organizations and/or the academe or any equivalent combination of education & experience from which comparable knowledge, skills and abilities have been achieved.
  • Expressed interest and demonstrated skills in high scale inventory is a must.
  • Attendance or certification to any one of these, preferred: 

- Good Manufacturing Practices (GMP)

- Good Housekeeping Practices (5S)
