Project Management Coordinator

The Role:
The Project Management Coordinator plays a vital role in supporting the administrative, communication, and coordination functions across the Operations Services team. This role ensures operational efficiency by managing key systems like the Enterprise Calendar, supporting test rollouts, maintaining project timelines, and facilitating cross-functional communication. This person will help us streamline how we track, test, communicate, and continuously improve the way we support restaurants and Above Restaurant Leaders.

The ideal candidate is organized, detail-oriented, systems-savvy, and thrives in a fast-paced environment where no two days are the same.


What You’ll Do:

Calendar & Communications Management

  • Own and maintain the Enterprise Calendar, ensuring visibility into test schedules, national rollouts, training deployments, and key initiatives across departments.
  • Track testing calendars and ensure alignment and communication with relevant stakeholders (e.g., Field Ops, Ops Services, L&D).
  • Schedule and coordinate office hours, roundtables, and other feedback loops to support active initiatives and tests.

Project & Ticketing Support

  • Support project planning and execution by maintaining documentation, timelines, action items, and owners across multiple Ops Services workstreams.
  • Monitor and manage Zendesk ticketing for Ops Services triaging inquiries, tracking response time, flagging trends, and escalating as needed.

Operational Excellence & Continuous Improvement

  • Partner with the team to identify opportunities to improve how Ops Services manages projects, tickets, and communication.
  • Maintain and improve team project management tools and documentation (e.g., project trackers, dashboards, SOPs).
  • Ensure high-quality execution of administrative functions that drive alignment and impact.

The Qualifications:

  • 2+ years of experience in project coordination, operations, or administrative roles (hospitality or restaurant field experience a plus)
  • Strong organizational skills and attention to detail
  • Proficiency in project management tools (e.g., Asana, Monday.com, or equivalent) and calendar systems
  • Ability to communicate effectively across teams and levels, both written and verbal
  • Experience using or managing helpdesk/ticketing systems (Jira experience a plus)
  • Resourceful, curious, and comfortable managing multiple tasks at once
  • A passion for helping teams stay aligned, efficient, and focused on impact
  • Able to make rational decisions when challenged with obstacles

Physical Requirements:

  • Ability to maintain stationary position to be able to operate a computer and other office equipment
  • Must be able to identify, analyze and assess details
  • For certain positions, must be able to occasionally move or transport items up to 50 pounds
  • Ability to communicate with others and exchange information accurately and effectively
  • Constantly positions self and move about to support ordinary restaurant or food production support or office operations, as applicable
  • Ability to work in a constant state of alertness and in a safe manner
