We are looking for a Hotel Administrator to join The BoTree on a fixed-term basis to cover a period of maternity leave. Reporting to the Director of Rooms, you will provide organised, accurate administrative support to the General Manager, Director of Operations and Director of Rooms across our hotel, wellness, food and beverage, nightlife and events operations. You will help teams communicate effectively, keep records current and follow up agreed actions.

The Role

Key responsibilities include:

  • Coordinate diaries, appointments and meetings for the General Manager, Director of Operations and Director of Rooms.
  • Prepare reports, presentations, meeting papers and other documents; take accurate meeting notes and track agreed actions, owners and deadlines.
  • Manage designated shared mailboxes and routine guest communications, responding professionally and within agreed timescales.
  • Respond to routine online reviews in line with approved standards, escalating complaints and sensitive matters to the appropriate manager.
  • Collate guest feedback, online reviews and quality data, identify trends and prepare updates for operational leaders.
  • Maintain guest experience and quality platforms, ensuring records, reports and agreed actions are accurate and up to date.
  • Support audit and inspection preparation by collating documents, communicating requirements and maintaining action trackers.
  • Maintain operational and Engineering trackers, record progress and follow up outstanding actions with the relevant owners.
  • Coordinate agreed new starter and leaver system requests and asset records with the People Team and system owners.
  • Work with colleagues across the hotel to share information, support service improvements and keep administrative processes running smoothly.
  • Handle guest and team information confidentially and follow Company and brand procedures.

About You

You will be a capable administrator who enjoys working with different teams and balancing several priorities. Experience in a hotel or other guest-focused environment would be valuable.

You will communicate clearly, pay close attention to detail and follow through on actions. You will handle confidential information carefully and bring a professional, helpful approach to guest and colleague interactions.

We're looking for someone with:

  • Experience providing administrative support and coordinating meetings, records or reports.
  • Strong organisational skills and the ability to manage competing deadlines.
  • Excellent written and verbal communication skills.
  • Attention to detail when preparing documents and maintaining records.
  • Confidence using digital systems and the ability to learn new platforms.
  • A professional approach to guest communications and confidential information.
  • A collaborative manner when working with colleagues across departments.
  • Flexibility to respond to changing operational priorities.
