SUMMARY
Lead all daily Front Office operations and deliver a Five-star, Five-diamond experience to all guests. Maintain all aspects of the front desk and valet area to ensure a luxury experience. Serve as the leader of the Front Office department and manage the teamwork between the Front Office and Dining room team. This position requires high engagement skills at the Five-star level and will be the driver behind our guest experience. The role also requires the ability to work closely with the 3 Michelin Start dining room.
ESSENTIAL FUNCTIONS
1. This position is a strong ambassador for The Inn in all their interactions with our guests – those staying overnight in one of our 24 beautiful guest suites, as well as those dining with us in our world-famous dining room
2. Oversee Front Desk Managers, Front Office, Valet and Guest service team
3. Demonstrate excellent communication skills and meet the expectations of a 5 Star/5 Diamond property by providing exemplary guest service skills
4. Strong multi-tasking of front office duties which include, but not limited to, checking guests in/out, seating guests in the dining room or living room, answer telephone calls, check emails, relaying guest requests, walking food and checking the guests’ coats
5. Assist the Director of Rooms to oversee all Front Office operations, which include, but not limited to, seeing that all assigned projects are completed, managing day-to-day operations, ensure all front office employees are meeting the Forbes Standards, develop goals and objectives to improve the department and ensure all front desk employees are in compliance with policies and procedures
6. Collaborate with accounting team to ensure Front Office adheres to monthly budget set by accounting
7. Ensure new team members are all and follow our on-boarding plan.
8. Maintain selection, staffing, training, supervision, grooming and conduct standards within area of responsibility
9. Ensure all guest issues are followed up on and resolved and appropriate departments are notified
10. Monitor the staffing levels to ensure it meets the demand
11. Ensure that the lobby and public areas are clean and neat
13. An eagerness to learn with a positive attitude
14. Able to take constructive criticism to help improve faults
15. Coordinate with Housekeeping and Engineering department to complete any projects that need attention
16. Work closely with both the Dining Room and Culinary team to ensure all guest requests are communicated
17. Print daily front desk reports and communicate any pertinent information to each department, which include, but not limited to, special requests, VIP’s, dietary restrictions, and special billing instructions
18. Meet Forbes Standards in all daily operations and guest interactions
19. Demonstrate proficiency with Resortsuite and Tock software
20. Be anticipatory of guest needs and respond to guest inquiries in a timely and professional manner
21. Take ownership and resolve all guest issues in a timely and professional manner
22. Assign dining room seating strategically to maximize nightly covers and efficient flow of guests
23. Must maintain professional etiquette with all guests and employees
24. Constantly monitor the lobby, public areas, and front driveway to ensure the areas are clean and free of debris
25. Demonstrate a thorough knowledge of the Inn and its history
26. Keep in constant communication with Housekeeping with checked out rooms, turn-up rooms and turn-down rooms
QUALIFICATIONS
Required
1. 2-3 years of Front Office Manager experience or comparable experience
2. 1-2 years of experience in a 4- or 5-star luxury property
3. Strong leadership skills
4. Must be able to work weekends, holidays and have a flexible work schedule
5. Ability to make strong connections with guests
6. Microsoft Office knowledge
7. Excellent communication skills
8. Must be at least 21 years of age
9. Must be well-groomed and well-presented with no visible tattoos
Desirable
1. Familiarity with Forbes Standards
2. Ability to communicate in a language other than English, preferably Spanish or French
3. Certification in alcohol awareness program
4. Certification in CPR
5. Prior experience with Resortsuite and Tock
SKILLS
1. Ability to communicate in English both orally and in writing
2. Strong interpersonal communication skills both verbal and written
3. Must always be organized and maintain cleanliness of the front desk
4. Ability to speak using clear and professional language
5. Ability to multi-task in a fast-paced environment

7. Ability to cross-train across multiple departments and assist when needed
