SUMMARY
Responsible for all night audit functions for the Inn/Café and deliver a 5-star experience to all guests that may need assistance. Maintain all aspects of the Front Office area to ensure a luxury experience. Serve as a support to the Front Office, Housekeeping and Dining Room team.
ESSENTIAL FUNCTIONS
Greets and monitors visitors and guest’s coming and going from the building.
Monitors the inside and outside of the building and the parking lot; reports any abnormal findings to the Director of Facilities or to the proper authorities as the situation dictates.
Locks doors at designated time, according to community protocol. Check the security of all doors regularly throughout the night.
Maintains familiarity with and monitors all emergency and safety equipment including security cameras, phones, and life safety systems.
Responds appropriately to emergencies by calling or contacting appropriate internal and external parties, according to established protocol. Assists with disaster management efforts and activities during evacuations (i.e., fires, hurricanes, etc.).
Answer the phone promptly. Responds to questions, directs calls, or takes messages as appropriate.
Escorts guests and visitors to the parking lot during evening hours, as requested.
Handles minor maintenance emergencies (i.e., plugged toilets, reset breakers, replace light bulbs, etc.) as needed.
Ensures the lobby areas are vacuumed and kept clean and neat. Notifies housekeeping if cleaning is needed.
Interacts with guests in a friendly and courteous manner, providing assistance and directions as requested.
This position is a strong ambassador for The Inn in all their interactions with our guests – those staying overnight in one of our beautiful guest suites, as well as those dining with us in our world-famous dining room.
Must demonstrate excellent communication skills and meet the expectations of a 5 Star/5 Diamond property by providing top guest service skills.
Operate telephone switchboard station, process requests for wake-up calls, and advise guests of any messages.
Strong multi-tasking of front desk duties which include, but not limited to, checking guests in/out, seating guests in the dining room or living room, answer telephone calls, check emails, relaying guest requests, walking food and checking the guests’ coats.
Ability to run all night audit reports and complete the night audit checklist.
Ability to reconcile house accounts and communicate any house accounts with a balance.
Balance and drop receipts according to accounting specifications.
Ability to complete all End of Day reports and ensure the system is rolled over to the next business day.
Ability to reconcile room charges and credit card reports for all in house guests and outside guests.
Must greet all guests as though you are welcoming them to your own home.
An eagerness to learn new information with a positive attitude.
Able to take constructive criticism to help improve faults.
Coordinate with the Housekeeping and Engineering department to track room status and follow up accordingly.
Work closely with both the Dining Room and Culinary team to ensure all guest requests are communicated.
Prepare reports for the AM and PM front desk shifts.
Conduct a walkthrough of the property during the shift.
Assist with housekeeping, room service and engineering requests.
Must meet Forbes Standards in all daily operations and guest interactions.
Demonstrate proficiency with Resortsuite and Tock software.
Be anticipatory of guest needs and respond to guest inquiries promptly and professionally.
Must maintain professional etiquette with all guests and employees.
Constantly monitor the lobby, public areas, and front driveway to ensure the areas are clean and free of debris.
Demonstrate a thorough knowledge of the Inn and its history.
Must follow all disinfecting and sanitization policies.
CERTIFICATIONS
Fire Safety and Basic CPR/First Aid training (First Responds Team)
must have a valid driver’s license.
QUALIFICATIONS
Required
Microsoft Office knowledge
Excellent communication skills
Must be at least 21 years of age.
Must be well-groomed and well-presented with no visible tattoos.
Prior experience working in a hotel as Front Desk agent or Night auditor.
Desirable
Familiarity with Forbes Standards
Ability to communicate in a language other than English, preferably Spanish or French
Certification in alcohol awareness program
Certification in CPR, First Aid
Prior experience with Resortsuite and Tock
