Job Title: Administrative Assistant
Location: On-site | Full-Time

Position Overview:
We are looking for a friendly, organized, and dependable Administrative Assistant to serve as the face of our office and provide essential administrative support to our team. This role plays a key part in ensuring smooth day-to-day office operations and delivering a warm, professional experience to all visitors, staff, and executives.


Key Responsibilities Front Desk & Reception

  • Greet and welcome all visitors with warmth and professionalism; direct them to the appropriate staff or meeting space.

  • Answer and route incoming phone calls and messages to the correct departments.

  • Maintain a clean, organized, and welcoming front desk and lobby area.

  • Manage incoming and outgoing mail, packages, and deliveries.

Office Support

  • Monitor and restock office and kitchen supplies regularly.

  • Coordinate with vendors, building management, and service providers for office needs and maintenance.

  • Maintain organization in the kitchen and common areas; ensure coffee, snacks, and supplies are stocked and refreshed.

  • Support internal team meetings and office events with room setup, catering coordination, and cleanup.

  • Assist with general administrative tasks such as filing, data entry, and preparing documents.

  • Pick up packages from receiving and assist with distribution.

Administrative & Executive Assistance

  • Provide light administrative support to the CEO and other executives, including scheduling, calendar updates, and occasional travel or meal coordination.

  • Assist with preparing reports, presentations, or simple documents when needed.

  • Handle expense tracking and invoice submissions as directed.


Qualifications

  • Previous experience in a receptionist, office assistant, or administrative support role preferred.

  • Excellent interpersonal and communication skills, both written and verbal.

  • Professional and friendly demeanor with a strong sense of hospitality.

  • Highly organized with the ability to multitask and prioritize in a busy environment.

  • Basic proficiency in Microsoft Office Suite and Google Workspace.

  • Comfortable working independently and taking initiative to keep the office running smoothly.
