Accounts Payable Analyst Responsibilities and Duties

Job Summary

Accounts payable specialists perform crucial job duties that ensure vendors get paid for services and products rendered. They review and process invoices, audit credit card bills, answer vendor inquiries, reconcile vendor statements, process and maintain 1099 statements, and process and distribute checks.

Essential duties and responsibilities

  • Manage the full accounts payable cycle from receipt of invoices to payment, including coding invoices, matching purchase orders, obtaining approval, and entering the invoices in to the accounting system.
  • Process employee expense reports, including verification of receipts and coding.
  • Prepares batch check runs, wire transfers, and ACH transactions.
  • Responsible for monthly accounts payable journal entries and balance sheet reconciliations.
  • Ensure all accounts payable policies and procedures are adhered to including travel and related expenses, vendor approval, and invoice processing. 
  • Responsible for IRS 1099 compliance and reporting. 
  • Responsible for imaging and record retention of all account payable documents. 
  • Manage vendor relations and build effective partnerships. 
  • Assist team with gathering support for all audits, including pulling documentation. 
  • Investigates and resolves problems associated with the processing of invoices and purchase orders. 
  • Receives, researches and resolves a variety of routine internal and external inquiries concerning account status, including communicating the resolution of discrepancies to appropriate persons. 
  • Assist in ad hoc projects as needed.

Qualification requirements

  • High School Diploma or GED; Associates Degree or equivalent from a two-year college or technical school preferred
  • 1-3 years of accounts payable
  • Ability to calculate, post, and manage accounting figures and financial records
  • General math skills.
  • Proficiency in MS Office, including the ability to operate computerized accounting and spreadsheet programs
  • The high degree of accuracy, attention to detail, and confidentiality
  • Excellent data entry skills.
  • Excellent analytical, problem-solving, and decision-making skills
  • Effective verbal, listening, and written communication skills.
  • Effective organizational, stress, and time management skills
  • Demonstrates a sense of urgency and ability to meet deadlines
  • Ability to work independently or as a team member
  • Ability to work with a diverse group of people
  • Customer service and negotiation skills

Physical demands and abilities

  • Regularly spend long hours sitting and using office equipment and computers.
  • Regularly move from sitting to standing positions effortlessly.
  • Regularly spend long hours in intense concentration reviewing and entering financial information into a computer.
  • Regularly use hands and fingers to handle, control or feel objects.
  • Regularly see details of objects that are less than a few feet away.
  • Regularly speak clearly so listeners can understand.
  • Regularly understand the speech of another person.
  • Frequently work on projects that require deadlines
  • Frequently bend to file and maintain files.
  • Occasionally lift 5-10 pounds.
