Strategic Intent

The Reservations Manager will oversee the hotel’s reservations process, including guestrooms, spa, and restaurants. S/he will provide assistance with implementing the revenue and rate strategy to be aligned with the hotel’s sales and marketing plan. The Reservations Manager will provide day-to-day guidance, coaching and training to the Reservation Sales Agents.

Organizational Structure

The Reservations Manager will report to the Director of Revenue Management (DORM). S/he will supervise the Reservations Sales Agents.

General Duties and Responsibilities
•Assist the DORM in the pre-opening department set-up; assist with the generation of departmental SOP’s with the DORM’s guidance and approval.
•Collaborate with Director of Revenue Management, Director of Food and Beverage and Director of Spa Membership to maximize guestrooms, outlet and spa space availabilities.
•Monitor and ensure that the Reservations team members perform their job functions to the highest standard at all times.
•Evaluate the staffing requirements and prepare work schedules weekly, adhering to budget goals.
•Ensure that the Reservation phone lines are attended at all times.
•Ensure that sufficient staffing is present to meet the daily business demands.
•Coach and mentor Reservation Sales Agents; provide and facilitate ongoing departmental training opportunities for all Reservations associates.
•Conduct daily line-up; communicate anticipated business demands daily with the Reservations team.
•Ensure staff’s knowledge of hotel services, features, and amenities; share local information to keep Reservation Sales Agents well informed for our guests.
•Assign specific tasks to team members as they arise; assign projects as needed.
•Assist Reservations staff whenever necessary in performing all job functions.
•Conduct ongoing training with existing staff and ensure that new staff is certified as required.
•Accommodate all guest requests in an accurate end efficient manner.
•Coordinate all group requests and needs; communicate effectively with all departments to ensure guest satisfaction.
•Monitor and maintain cleanliness and working condition of department equipment and supplies.
•Ensure payroll is documented and submitted accurately and promptly.
•Ensure payroll forecast are accurately completed and submitted timely.
•Conduct performance appraisals of designated staff as required.
•Work closely with the Front Office Manager in determining the percentage for overbooking.
•Advise the hotel staff of the forecasted occupancy and any changes in that occupancy.

Experience and Requirements
•Must possess a minimum of 2+ years in Reservations Management or Supervision; those with direct luxury experience will be strongly preferred.
•Must possess strong computer proficiency to include MS Office, Word, Excel, PowerPoint, Opera, HotSOS, MICROS, OpenTable, etc.
•Excellent communications skills with fluency in English required; must possess a superior telephone demeanor at all times.
•Bachelor’s Degree in Hospitality or a related field is preferred.
•Must be able to work a flexible schedule (including weekends and holidays) to accommodate all business directives and goals.
•Those with prior luxury hotel experience are preferred.
