The Job

This role reports to the Procurement Manager, working client side within the Interior Design team. The position is accountable for purchasing for the interior design function across Flight Club and Electric Shuffle projects in the UK and overseas. 

The Purchasing Coordinator will work alongside interior designers and manage all elements of FF&E purchasing, including schedules, quotes, sales orders, and invoices. They will also be responsible for appointing, overseeing, and coordinating fit out scenic artists, AV contractors and external canopy suppliers on our UK venue openings. 

This role requires proactive problem-solving with an ability to identify risks, communicate challenges, and offer well-balanced and efficient solutions.

 

Key responsibilities will include: 

Purchasing

  • Carry out new and existing supplier reviews and maintain a list of approved suppliers  
  • Research the relevant markets to identify alternative suppliers, when required and obtain quotes for review and sign off from the central function 
  • Work closely with interior designers and vendors to ensure materials and construction methods comply with company standards  
  • Assist in the VE process, when required, by making recommendations for alternate ‘Client Direct Items’ to achieve project budgets and timelines 
  • Accountable for maintaining accurate dashboards and historical purchasing data 
  • Travel to UK sites as required. Involvement in overseas projects in line with business operations 
  • Cultivate strong relationships with clients, vendors, and third parties 
  • Manage the process of reviewing package proposals for lighting, sound systems and acoustics 
  • Manage and raise all client direct purchases including but not limited to acoustics, lighting, sound systems, curtains and loose furniture oversees through to fulfilment 
  • Being responsible for producing detailed project budgets and report these into the relevant stakeholders  
  • Manage the purchasing and tracking material and client direct items in line with issued schedules and drawings on behalf of the design team 
  • Liaise with relevant designers and Head of Design to ensure alignment between the requirements of the purchasing 
  • Be able to review schedules against design drawings for take off  
  • Maintain databases keeping them up to date with current information on design and resource 
  • Have the ability to support the finance team when reconciling invoices that are produced against purchased items 
  • When required arrange for sample light fittings to be wired and tested in venue for review by interior design team 
Fit Out / Scenic Artist Management  
  • Carry out existing scenic artist reviews and new scenic artist trials to provide a list of approved artists  
  •  Negotiate fees and arrange the selected scenic artist(s) appointment, ensuring all align with project budgets and timelines Coordination of scenic artist(s) with fit-out contractor on site and other relevant parties (project manager) 
  • Create and maintain project scenic tracker for weekly review with lead interior design and project manager.

To be successful in this role, you’ll: 

  • Extensive years’ experience in purchasing for fit out projects (interior design) 
  • Results-oriented person with creative problem-solving skills, the ability to multi-task with high attention to detail 
  • Highly organised with excellent time management 
  • Strong communication skills, both written and oral 
  • Strong computer skills in Microsoft Office, in particular, Excel 
  • Able to work on their initiative whilst being a team player 
  • Proven track record of negotiation, production and quality sourcing 
  • Proven experience of FF&E budget management, tender process and programme delivery 
  • Knowledge of design/construction industry preferred
